Last updated: 19 October 2026. This page is referenced in Section 5.4 of the Terms of Service and forms part of the Agreement. It is the online register required by Article 26(b) of Regulation (EU) 2023/2854.
1. How to request a switch or an export
Send a written request to contact[at]novanode.eu or open a ticket in the customer portal from an authorised account, stating: the services concerned; whether you are switching to another provider (give its details), moving to your own infrastructure, or asking for erasure without switching; the export formats you need from the list below; and the date you want the notice period to end (at most two months from the request; 14 days if you give no date). We acknowledge within five Business Days.
2. Timeline
- Notice period
- Ends on the date you choose, at most two months after we receive the request.
- Transitional period
- Up to 30 calendar days after the notice period, during which we complete the switch; your service keeps running. If 30 days is technically unfeasible we tell you within 14 working days, explain why, and propose an alternative of at most seven months. You may extend the transitional period once, for a period of your choosing, by telling us before it ends.
- Retrieval period
- At least 30 calendar days after the transitional period, during which you can still download your data.
- Erasure
- After the retrieval period, or a later date agreed with you, we erase all your exportable data and digital assets, including backup copies within the backup retention period in Section 9.7 of the Terms, and confirm in writing; a deletion certificate is available on request. If you chose erasure without switching, erasure follows the end of the notice period.
3. Register: exportable data, formats and standards per service
VPS and cloud servers (GEP plans)
- Exportable
- Full disk image of each virtual disk; snapshots; VM configuration (vCPU, memory, disk layout, boot order, network interfaces); firewall rules; backups held by NovaNode; all data inside the VM.
- Formats
- Disk images as raw or QCOW2 (QEMU/KVM standard); configuration as JSON or plain text; backups as raw images.
- Method
- On request via ticket.
- Standards
- QCOW2 v3, raw, virtio drivers, cloud-init where used.
Web hosting, legacy (DirectAdmin)
- Exportable
- Website files; databases; mailboxes hosted on the account; DNS zone; account settings.
- Formats
- Files as tar.gz via DirectAdmin backup or SFTP/FTP; MySQL/MariaDB databases as SQL dumps; mail as Maildir inside the backup archive; DNS zone as a BIND zone file; full account as a DirectAdmin backup archive (tar.gz).
- Method
- Self-service DirectAdmin backup, SFTP, or on request.
NovaNode Sites (Link, Basic, Business)
- Exportable (exhaustive)
- Pages and page content (title, slug, SEO fields, publication status, block content in document order)
- Blog posts (news and event entries)
- Site settings, including navigation, custom head code and per-page settings
- Redirects
- Connected domain names and their configuration
- Media and uploads, as the original files in their original format, with an index of file names, types, sizes and alt text
- Form submissions, including any files uploaded through forms
- Appointments (booking block)
- Newsletter subscribers and newsletter send history
- Format
- One ZIP archive containing structured data as JSON and CSV files, plus the original media and upload files. The archive contains a manifest with the schema version, the export date and a file index. The data structure is documented at novanode.eu/schemas/web/export-1.json and is an open, machine-readable format within the meaning of Article 30(5) of Regulation (EU) 2023/2854.
- Not included (trade secret and platform software, Article 30(6))
- The NovaNode Sites editor, templates, themes and the HTML, CSS and JavaScript generated by the platform from the customer's content; image renditions generated by the platform from the originals (the originals are included); platform configuration; internal visitor statistics tables; abuse and security tooling data (including hashed visitor IP addresses).
- Not included (security)
- Password hashes, API tokens, session data and other credentials. These are not customer data that can be used with another provider and are not exported.
- Procedure
- Self-service in the customer portal, under Settings, Export, "Download site export". The export is generated and made available for download to the logged-in account holder only. Customers who cannot access the portal may request the export by support ticket; the download is then placed in the customer portal behind login and is not sent as an attachment. Requests are acknowledged within 5 Business Days (Terms, Section 5.4.12).
- Charges
- None (Terms, Section 5.4.11).
NovaNode Mail (Basic, Plus, Pro)
- Exportable
- All mailboxes and folders; calendars; contacts; aliases and forwarders; domain settings.
- Formats
- Mail via IMAP (any IMAP client or migration tool) or as mbox/EML archive on request; calendars as iCalendar (.ics) via CalDAV; contacts as vCard (.vcf) via CardDAV; aliases, forwarders and DNS records as CSV or text.
- Method
- Self-service IMAP/CalDAV/CardDAV at any time; archive export on request.
Domain names
- Note
- Domain registration is not a data processing service. Domains remain yours and are transferred with the authorisation code under Sections 5.1 and 8.3.4.4 of the Terms; the DNS zone is exported as a BIND zone file.
4. Data excluded on trade-secret grounds (exhaustive list)
Hypervisor and host configuration; internal monitoring, telemetry and capacity data; internal network topology and IP allocation records; abuse-detection and security-tooling data; NovaNode platform source code, orchestration and automation. None of these is needed to run your service elsewhere and none of these exclusions delays a switch.
5. Known restrictions and technical limitations
IPv4 and IPv6 addresses assigned by NovaNode and reverse DNS entries are NovaNode network resources (Section 5.5) and are not transferred; Provider-Independent space sponsored under Section 5.5.4 stays with you. Live migration of running VMs to another provider is not offered; exports are files and images, not running services. Snapshot export size is limited by your plan’s disk size. Mail export speed is bounded by IMAP throughput. NovaNode Sites exports contain structured data and original files; the editor, themes and the HTML, CSS and JavaScript generated by the platform are not included.
6. Charges
None. Switching, export and the data transfer they require are free of charge. Standard service fees continue for services you keep using; additional work you ask for beyond our obligations under Section 5.4 is quoted in advance.
